What a 10–25 room property actually needs from a PMS, what it can safely ignore, and what it should expect to pay in naira.

Most hotel software is written for hotels with a night auditor, a financial controller and a front office manager. If you run a 14-room guest house in Yaba where the same person checks guests in, takes payment and orders the water, that software will feel like wearing a suit two sizes too big.

But the alternative most small properties settle for — a notebook, a WhatsApp group and a cash tin — has a cost that only shows up at the end of the month, when nobody can say what the property actually earned.

Here is what a small property genuinely needs, and what it can ignore.

What you actually need

A single place that says which rooms are free

Not a booking chart on the wall that only one person can read, and not a WhatsApp thread. If two people can take a booking, two people can double-book the same room on the same night — and the guest who arrives second will remember it.

A record of what each guest owes

One folio per stay: the room charge, anything they added, everything they paid. When a guest checks out, the balance should be zero and you should be able to see how it got there.

A rule that stops guests leaving with a balance

This is the single control that recovers the most money in a small property, because it costs nothing to enforce. If checkout cannot complete while money is outstanding, it stops being a matter of whether anyone remembered to ask.

Payments recorded by tender

Cash, transfer and Moniepoint counted separately, each reconciling on its own. A single “revenue” number that mixes them tells you nothing when the drawer is short.

Someone’s name on every action

Even with four staff. Especially with four staff — small teams are exactly where “I thought you had done it” costs the most, and where an audit trail defuses arguments rather than starting them.

What you can safely ignore, for now

  • Channel manager integrations, unless you are genuinely selling through Booking.com at volume. Most small Lagos properties fill through direct calls, WhatsApp and repeat guests.
  • Revenue management and dynamic pricing. With 14 rooms and a stable rate, the maths does not earn its complexity.
  • Corporate accounts and city ledger, unless companies actually stay with you on credit. If they pay at checkout, you do not need receivables.
  • Full inventory control, if you have no restaurant. A bar fridge and a store cupboard do not need batch tracking.

Being honest about this list is how you avoid paying enterprise prices for a guest house.

What it should cost

Published naira pricing matters more at this size than at any other, because a 14-room property cannot absorb a surprise. Our own pricing starts at ₦240,000 a year for up to 20 rooms on the rooms-only tier, with unlimited staff accounts — you are never charged for adding a receptionist.

That figure is the whole licence. What it does not include is hardware, if you go the on-premise route; for a small property in Lagos on a decent connection, cloud is almost always the right answer, with no hardware at all and a one-off ₦60,000 onboarding fee on the rooms-only tier to set up the property and train staff remotely.

The power question, honestly

Small properties feel outages harder because there is no night auditor to reconstruct the evening afterwards. But an on-premise server is a real cost — a one-off in the hundreds of thousands of naira for hardware and installation — and for a 14-room guest house that only loses its connection occasionally, it is usually not worth it.

The pragmatic answer for most small Lagos properties: run in the cloud, keep a phone hotspot as a backup connection, and revisit if your outages start costing real bookings. We would rather tell you that than sell you a server.

Starting small

If you are moving off paper, do not try to move everything at once. Get the rooms, the rates and the reservations in first. Add outlets and stock later, if you ever need them.
